Office Assistant & Project Support

MedTrace is looking for you who recently has graduated or is about to graduate from high school and who will hold this position for one to two years, before beginning the next education.

Your main responsibility is to assist in providing a pleasant place to work for all MedTrace employees and assist in creating an environment that supports our internal cooperation as well as external partners.

The position is versatile, but you’re multitasking, and open-minded nature makes it easy for you to juggle a variety of assignments and displaying a trustworthy working relationship with your co-workers. Your focus will be to deliver tasks and projects in time and in the desired quality to support this modus operandum.

The position is fulltime, and you will report to our Head of Controlling & Business Support, but work across the organization with specialists and especially project managers. The Business Support function reaches out to all internal as well as external functions.

Key responsibilities:

• Ad hoc administrative and operational tasks such as:
  • Office maintenance, cleaning coffee machine, emptying shredder, ordering office supplies, ordering weekly groceries, etc.
  • Coordinating and communicating with external service providers, incl. reception and cleaning staff etc.
  • Meeting preparations, material preparation, meeting set-up and catering
  • Responsible for answering calls to the company phone and welcoming guests
  • Various transport activities, e.g. pick-up or deliver packages and items to distributor’s warehouse, production facility etc.

• Project Support according to the PRINCE2 standard (training will be provided). For example,
  • Planning assistance
  • Execution of specific tasks
  • Administrative and dedicated support to project managers

• Are service-minded, self-driven, detail-oriented and outgoing
• Are flexible and have an international mind-set
• Can communicate and collaborate across an organization
• Not afraid of picking up the phone to clarify items with external vendors or colleagues abroad
• It is expected that you have drive and wants to learn and develop professionally and personally. This will happen with support from colleges

Requirements:

• You are comfortable in speaking and writing English & Danish
• Driver’s license (B)
• You just graduated high school (or are graduating this summer)
• You have a solid knowledge of MS Office
